The Western Reserve Area Agency on Aging (WRAAA) is a nonprofit organization based in Cleveland, Ohio, dedicated to helping individuals live independently in their own homes. By providing critical services and support, WRAAA ensures that aging individuals and their families receive the care they need without transitioning into assisted living or nursing homes. Their work spans assessments, resource coordination, and ongoing assistance to improve the quality of life for those they serve.
However, managing internal operations and performance evaluations across the organization comes with its own challenges. To help in that process, WRAAA needed a solution to align its workforce with the organization's broader mission.
We interviewed Mark Davidson, Chief Information Officer at WRAAA, who shared how Teamflect has revolutionized their approach to performance management and organizational alignment.

“Teamflect is such a powerhouse! Having everything within Teams has been a real benefit for us.”
Mark Davidson - Chief Information Officer
WRAAA's journey with Teamflect began when a member of the executive team discovered the tool and started using it within their department. Seeing its potential, they introduced it to the COO, who, along with the leadership team, recognized its value.
Initially piloted with employees reporting to the COO, Teamflect quickly gained traction, leading to a wider rollout across the entire agency.
“The hierarchy from who's the manager, who's on what team, all seamlessly was there from day one, and it was really painless.”
The implementation process was smooth and hassle-free, a rare experience when adopting new software. Teamflect's deep integration with Microsoft 365 meant that organizational structures, reporting relationships, and team configurations were automatically populated from their existing directory.
This eliminated the usual administrative headaches that come with software onboarding and allowed WRAAA to focus on adoption rather than setup.
Starting with just a small group of eight employees, WRAAA gradually expanded its usage. Today, close to 100 employees actively use Teamflect, and the organization is on track to integrate it across the board.
“We have company goals, department goals, and individual goals, all linked together. Everyone’s personal goals support the agency’s overall mission.”
With the introduction of Teamflect's cascading goals, employees could now align their personal objectives with departmental and organizational goals.
This shift not only made performance expectations clearer but also helped employees see how their work contributed to WRAAA's mission of helping individuals live independently.
“We use Teamflect in our meetings. I really like that when I do my one-on-ones with my team, we can all create talking points.”
Teamflect's built-in meeting features helped make one-on-one discussions more structured and productive. Instead of sporadic check-ins, managers could track progress, discuss roadblocks, and ensure alignment on priorities, all within Microsoft Teams.
“IT, HR, and finance are behind-the-scenes teams, and our work isn’t always visible. Now, leadership can see exactly what we’re working on at all times.”
This new level of visibility and accountability created a stronger culture of performance and collaboration, ensuring that even support departments' contributions to the mission are recognized and valued.
“The thing that we appreciate about Teamflect is that it is intuitive. You don’t really need any training or guidance on it.”
One of the unexpected benefits of Teamflect was just how easy it was to use. Unlike other performance management tools that require extensive onboarding and customer support, Teamflect felt natural from day one.
With Teamflect now embedded into WRAAA's daily operations, the agency has fundamentally changed the way it manages performance and goal setting.
As WRAAA continues expanding its use of Teamflect, it is well-positioned to drive even greater engagement and efficiency, ensuring that every employee's work contributes meaningfully to the organization's mission of supporting independent living. WRAAA's experience reflects how mission-driven nonprofits can bring visibility to goals and tasks across a distributed, service-oriented workforce.
00:00:00,080 --> 00:00:05,320
The thing that we appreciate about Teamflect is that it is intuitive.
00:00:05,540 --> 00:00:09,820
You don't really need any training or guidance on it.
00:00:10,010 --> 00:00:11,190
It's extremely intuitive,
00:00:11,290 --> 00:00:16,180
even for the most troublesome tech user.
00:00:26,340 --> 00:00:30,650
Overall, how would you say Teamflect has helped your organization?
00:00:31,820 --> 00:00:34,690
I would say that Teamflect has helped our organization
00:00:34,720 --> 00:00:37,140
by allowing us to have visibility
00:00:37,160 --> 00:00:39,410
on all of the goals that we're working towards.
00:00:39,540 --> 00:00:40,720
A lot of the times,
00:00:41,600 --> 00:00:43,420
departments such as IT,
00:00:43,460 --> 00:00:46,580
HR, finance, the behind the scenes,
00:00:47,210 --> 00:00:50,060
you know, the working gears of the organization
00:00:50,080 --> 00:00:52,170
that sometimes are working in the back
00:00:52,280 --> 00:00:56,040
that people don't necessarily see the work on the front end.
00:00:56,840 --> 00:00:57,900
Our administration,
00:00:57,930 --> 00:00:59,920
our executive team is able to look in
00:00:59,940 --> 00:01:04,020
and see exactly what we're working on at all times so they could see,
00:01:04,200 --> 00:01:06,940
hey, IT really is working on something,
00:01:07,220 --> 00:01:09,980
rather than, you know, something breaking
00:01:10,000 --> 00:01:11,700
and seeing us scurrying around the office.
00:01:11,720 --> 00:01:18,640
So that has been a real breath of fresh air of having...
00:01:19,890 --> 00:01:23,780
having administration being able to see our our day to day work
00:01:23,800 --> 00:01:25,460
and the progress on our goals.
00:01:26,090 --> 00:01:28,100
How did you discover Teamflect?
00:01:28,130 --> 00:01:33,880
So one of our executive team members found Teamflect,
00:01:33,930 --> 00:01:35,900
was using it internally with his team,
00:01:36,170 --> 00:01:38,810
and brought it forward to our CFO
00:01:38,830 --> 00:01:41,960
and we all thought it was great.
00:01:42,260 --> 00:01:46,440
And we rolled it out to everyone who reported to our CFO
00:01:46,460 --> 00:01:48,160
as kind of a trial basis,
00:01:48,400 --> 00:01:50,740
and then rolled it down to our line staff,
00:01:50,750 --> 00:01:53,410
and now we're starting to roll it out to the entire agency.
00:01:54,650 --> 00:01:58,300
Are you guys using Teamflect inside Microsoft Teams or independently?
00:01:59,380 --> 00:02:01,470
Yeah, with...
00:02:01,820 --> 00:02:05,450
Teams is such a powerhouse where people can get a little bit confused
00:02:05,460 --> 00:02:08,640
and go into different platforms on different websites.
00:02:08,670 --> 00:02:11,360
So having everything kind of within Teams
00:02:11,390 --> 00:02:14,970
has been a real benefit for us.
00:02:15,960 --> 00:02:17,780
What are you using Teamflect for?
00:02:18,660 --> 00:02:20,730
Yeah, so we have...
00:02:20,860 --> 00:02:22,620
we have kind of like a goal hierarchy.
00:02:22,670 --> 00:02:24,520
So we have our company goals,
00:02:24,550 --> 00:02:25,650
our department goals,
00:02:25,710 --> 00:02:27,240
and then our individual goals.
00:02:27,510 --> 00:02:29,250
And the plan for that
00:02:29,280 --> 00:02:33,120
is to have all of the goals all the way down on the bottom,
00:02:33,140 --> 00:02:34,600
support all the way up.
00:02:34,840 --> 00:02:39,360
So our executive team will create company goals,
00:02:39,620 --> 00:02:42,060
and then we'll create departmental goals.
00:02:42,180 --> 00:02:46,280
And then for my position in this,
00:02:47,160 --> 00:02:48,860
my boss will have goals.
00:02:49,100 --> 00:02:50,670
for the overall company,
00:02:51,100 --> 00:02:53,290
I'll create goals that will support those.
00:02:53,510 --> 00:02:54,880
And then I'll help,
00:02:55,200 --> 00:02:59,900
I'll either create or have my team create goals that then support my goals.
00:03:00,050 --> 00:03:03,690
So basically everyone working on their own goals
00:03:03,860 --> 00:03:07,300
are working towards the agency's overall goals.
00:03:07,840 --> 00:03:09,960
We're also using it in meetings.
00:03:09,980 --> 00:03:14,460
So I really like that when I do my one-on-ones with my team
00:03:14,510 --> 00:03:17,580
that I can put in talking points
00:03:17,610 --> 00:03:19,530
or they can put in talking points because
00:03:20,340 --> 00:03:24,090
with IT we are pulled in every which direction
00:03:24,170 --> 00:03:27,180
and sometimes, if you don't write something down,
00:03:27,280 --> 00:03:31,450
you're gonna forget it because you're in need pretty much 24/7.
00:03:31,500 --> 00:03:31,880
Yeah.
00:03:32,610 --> 00:03:32,970
Yeah.
00:03:32,990 --> 00:03:35,480
How has your experience been with Teamflect so far?
00:03:36,520 --> 00:03:37,600
It's been really great.
00:03:38,240 --> 00:03:40,760
Previously... you know, we have so many...
00:03:40,800 --> 00:03:44,250
we're juggling so many different balls that we...
00:03:44,750 --> 00:03:46,250
it's hard to keep track of everything,
00:03:46,380 --> 00:03:48,560
and having the different goals,
00:03:48,580 --> 00:03:50,640
the subgoals, the task lists,
00:03:51,410 --> 00:03:53,580
we're able to keep track of everything,
00:03:53,600 --> 00:03:58,490
versus previously, you're working on a smaller goal or a smaller project,
00:03:58,520 --> 00:04:01,940
some item of that might fall off your radar
00:04:02,040 --> 00:04:06,730
where this is a good place to keep track of everything
00:04:06,820 --> 00:04:09,660
as well as collaborate on those goals.
00:04:09,720 --> 00:04:12,820
Because, just because I'm working on a larger project.
00:04:13,250 --> 00:04:16,970
someone on my team might have availability to pick up some of those things.
00:04:17,460 --> 00:04:23,290
So we all have visibility on the progress of the goals.
00:04:23,810 --> 00:04:26,690
Do you have a favorite feature in Teamflect?
00:04:28,800 --> 00:04:31,730
I would say I really like the goals,
00:04:31,770 --> 00:04:32,930
creating the subgoals,
00:04:32,960 --> 00:04:36,300
and then assigning those to people,
00:04:36,320 --> 00:04:37,620
so then I could say,
00:04:37,820 --> 00:04:40,700
hey, this is my vision for this quarter.
00:04:41,810 --> 00:04:43,660
These are the goals that I want us to accomplish.
00:04:43,680 --> 00:04:44,800
And then I can assign it to them
00:04:44,820 --> 00:04:50,000
so then my team already knows what I'm going to assign them
00:04:50,160 --> 00:04:53,060
without having to have a meeting.
00:04:53,330 --> 00:04:56,460
Or they can prepare and get their mind focused on this,
00:04:56,490 --> 00:04:59,560
so then they can have something to come up with
00:04:59,580 --> 00:05:02,520
so they're not going in blind to our one-on-ones.
00:05:02,880 --> 00:05:06,020
How was the implementation process for Teamflect?
00:05:06,790 --> 00:05:08,140
It was very easy.
00:05:09,890 --> 00:05:12,080
Being the IT director
00:05:12,100 --> 00:05:16,280
and keeper of the licenses for pretty much every software,
00:05:16,450 --> 00:05:19,160
we were getting tickets and emails saying,
00:05:19,200 --> 00:05:20,790
hey, I need access to Teamflect.
00:05:21,160 --> 00:05:25,160
And we purchased a bucket of licenses.
00:05:25,470 --> 00:05:26,560
And I just said,
00:05:26,890 --> 00:05:28,070
go to this website and log in.
00:05:28,080 --> 00:05:29,680
There's nothing that we need to do.
00:05:29,720 --> 00:05:31,560
So it was just very seamless,
00:05:31,810 --> 00:05:34,000
linked with our 365.
00:05:35,210 --> 00:05:37,620
The hierarchy from who's the manager,
00:05:37,640 --> 00:05:38,620
who's on what team,
00:05:38,650 --> 00:05:42,640
just all seamlessly was there from day one
00:05:42,970 --> 00:05:45,970
and it was really painless.
00:05:46,610 --> 00:05:50,520
How was your experience with Teamflect customer service and support?
00:05:52,850 --> 00:05:56,580
I don't recall that we've really had to use their customer support.
00:05:56,600 --> 00:05:58,810
We've been doing it.
00:05:59,100 --> 00:06:04,320
The thing that we appreciate about Teamflect is that it is intuitive.
00:06:04,640 --> 00:06:08,710
You don't really need any training or guidance on it.
00:06:09,050 --> 00:06:10,450
For some folks,
00:06:10,460 --> 00:06:12,850
we did create a training,
00:06:13,690 --> 00:06:15,450
internal training for ourselves.
00:06:16,690 --> 00:06:20,250
But overall, you get in and you can just start clicking on things.
00:06:20,270 --> 00:06:22,050
And it's extremely intuitive,
00:06:22,090 --> 00:06:26,730
even for the most troublesome tech user.
00:06:28,490 --> 00:06:31,040
Some people might not be super computer savvy,
00:06:31,070 --> 00:06:34,690
but it's been proven to be really easy to use.
00:06:34,910 --> 00:06:37,360
Teamflect, build teams that deliver.
