The Western Reserve Area Agency on Aging (WRAAA) is a nonprofit organization based in Cleveland, Ohio, dedicated to helping individuals live independently in their own homes. By providing critical services and support, WRAAA ensures that aging individuals and their families receive the care they need without transitioning into assisted living or nursing homes. Their work spans assessments, resource coordination, and ongoing assistance to improve the quality of life for those they serve.
However, managing internal operations and performance evaluations across the organization comes with its own challenges. To help in that process, WRAAA needed a solution to align its workforce with the organization’s broader mission.
That solution came in the form of Teamflect.
WRAAA’s journey with Teamflect began when a member of the executive team discovered the tool and started using it within their department. Seeing its potential, they introduced it to the COO, who, along with the leadership team, recognized its value. Initially piloted with employees reporting to the COO, Teamflect quickly gained traction, leading to a wider rollout across the entire agency.
The implementation process was smooth and hassle-free, a rare experience when adopting new software. As Mark puts it:
“Teamflect is such a powerhouse! Having everything within Teams has been a real benefit for us.”
Mark Davidson - Chief Information Officer
Teamflect’s integration with Microsoft 365 meant that hierarchies and team structures were automatically set up, eliminating the usual administrative headaches that come with software onboarding.
“The hierarchy from who's the manager, who's on what team, all seamlessly was there from day one, and it was really painless.”
Starting with just a small group of eight employees, WRAAA gradually expanded its usage. Today, close to 100 employees actively use Teamflect, and the organization is on track to integrate it across the board.
With the introduction of Teamflect’s cascading goals, employees could now align their personal objectives with departmental and organizational goals.
This shift not only made performance expectations clearer but also helped employees see how their work contributed to WRAAA’s mission of helping individuals live independently.
“We have company goals, department goals, and individual goals, all linked together. Everyone’s personal goals support the agency’s overall mission.”
Teamflect’s built-in meeting features also helped make one-on-one discussions more structured and productive. Instead of sporadic check-ins, managers could track progress, discuss roadblocks, and ensure alignment on priorities, all within Microsoft Teams.
“We use Teamflect in our meetings. I really like that when I do my one-on-ones with my team, we can all create talking points.”
This new level of visibility and accountability created a stronger culture of performance and collaboration.
“IT, HR, and finance are behind-the-scenes teams, and our work isn’t always visible. Now, leadership can see exactly what we’re working on at all times.”
One of the unexpected benefits of Teamflect was just how easy it was to use. Unlike other performance management tools that require extensive onboarding and customer support, Teamflect felt natural from day one.
“The thing that we appreciate about Teamflect is that it is intuitive. You don’t really need any training or guidance on it.”
With Teamflect now embedded into WRAAA’s daily operations, the agency has fundamentally changed the way it manages performance and goal setting.
As WRAAA continues expanding its use of Teamflect, it is well-positioned to drive even greater engagement and efficiency, ensuring that every employee’s work contributes meaningfully to the organization’s mission of supporting independent living.
