We interviewed Ruth Hartgen from HRCI. She serves as HRCI’s Director of Human Resources, responsible for the people function across the organization. As HRCI continued to invest in the professionals it serves, Ruth turned that same attention inward, toward how HRCI manages performance and development for its own team. Which led to their discovery of Teamflect and how they could use it to unify their performance management process, inside Microsoft Teams.
Before Teamflect, HRCI’s performance management process relied on separate tools and workflows, limiting visibility and requiring extra coordination to keep the process on track.
“Our goals lived in one system and our year-end reviews happened through a separate document, so the pieces weren’t really coming together as smoothly as we wanted. It was hard to track, both for me and for the managers, and it involved a lot of follow-up. When we looked into Teamflect, it seemed like it would be a really good fit for us.”

HRCI heard about Teamflect and, after taking a closer look, saw a platform that could bring its performance process into one connected place. Because HRCI already works in a Microsoft environment, the fit felt natural from the start. Every employee now has Teamflect pinned within Microsoft Teams, which keeps it easy to reach as part of the normal workday.
Goal setting and year-end reviews
The two anchors of HRCI’s current setup are goal setting and the year-end review process. Bringing both into a single platform has made the whole performance management process more effective and efficient, and it has removed much of the manual tracking that used to be necessary.
“It has really helped us tremendously in streamlining our whole performance management process. Everyone has it pinned within Teams, so it’s easy to access, and everyone can track what they’re doing very quickly. Managers can see the same information in real time, which is great.”
Task tracking and meetings
Beyond the core process, employees can also track their individual tasks, which some of the team particularly enjoy, and schedule meetings directly through the system. These smaller conveniences add up to a smoother day-to-day experience.
AI writing assistance
During year-end reviews, employees found Teamflect’s AI capabilities to be a helpful productivity boost. The tool enhanced the quality and clarity of written reviews, making it easier for employees to express their thoughts while keeping the content uniquely their own.
Moving from a manual process to a system-based one was a necessary step for HRCI. While implementing a system of this scale was new territory, Ruth remained focused on ensuring a smooth and positive experience for employees. By partnering closely with her customer success manager, Sue, the transition was seamless and effective.
“The implementation process was great. I wouldn’t have changed a thing. This was a big change for us, and I really wanted it to be easy for our employees. Sue was so helpful in figuring out how to do that for our team. She was patient with me, promptly answered all of my questions, and did a great job training our team.”
Alongside the hands-on help from Sue and the wider customer service team, Ruth made good use of Teamflect’s video tutorials and help resources. She found them easy to locate throughout the platform and genuinely useful in walking through each process step by step.
“I watched a lot of the videos, and they were so helpful. They walk through each process, and they’re everywhere across the site, so they were really easy to access. The customer service folks I worked with were so knowledgeable, and everyone clearly outlined how to do things in a way that was very easy to follow.”
HRCI started deliberately and plans to expand its use of Teamflect over time. While the organization runs its own annual survey, Ruth is especially interested in exploring the recognition features next, adding another dimension to how HRCI supports and appreciates its team.
Ruth’s recommendation is wholehearted. What stands out for her is how approachable the platform is from day one, how easily it can be shaped around the way an organization actually works, and the sense that support is always within reach.
“Yes, I would absolutely recommend it. It was incredibly easy to implement, and I really like that from the beginning you can customize it to how your organization and your teams work. You can also add on as you go, so we started small and will grow as our partnership continues. The customer support team makes you feel like you’re never alone. And for people who are a little less tech savvy, it’s a very intuitive system, with navigation and embedded prompts that make it really easy to use.”
